Utilities Menu

The Utilities menu is a catch-all filled with features that don't really fit anyplace else. The features added by commercial XTensions can often be found here.

Figure 3.28 Utilities Menu

Check Spelling: Word

Menu: Utilities-> Check Spelling-> Word

Mac: Cmd+L

Windows: Ctrl+W

You don't have to select the whole word; just put the cursor anywhere in it. If you have more than one word selected, this changes to Check Selection.

Check Spelling: Story

Menu: Utilities-> Check Spelling-> Story

Mac: Cmd+Option+L

Windows: Ctrl+Alt+W

This feature checks the spelling of the currently selected text box and all other boxes that are linked to it. It won't check the spelling of other text boxes in your document.

Check Spelling: Document

Menu: Utilities-> Check Spelling-> Document

Mac: Cmd+Option+Shift+L

Windows: Ctrl+Alt+Shift+W

When you're on a master page, this checks the spelling on all your master pages.

Skip Word (in Spelling)

Mac: Cmd+S

Windows: Alt+S

Of course, Command+S on the Macintosh is usually Save, but when the Spelling dialog box is open, it means skip the word.

Figure 3.29 Skip Word

Lookup Word (in Spelling)

Mac: Cmd+L

Windows: Alt+L

Done (in Spelling)

Both: Esc

Add Word (in Spelling)

Mac: Cmd+A

Windows: Alt+A

This adds a word to your auxiliary dictionary. Of course, it only works if you have first specified an auxiliary dictionary for your document by selecting Auxiliary Dictionary from the Utility menu. If you use the Auxiliary Dictionary feature while no documents are open, XPress will apply your dictionary to every new document you create.

Add All Suspect Words to Auxiliary Dictionary

Mac: Option+Shift+Done

Windows: Alt+Shift+Close

This is one of my favorite hidden tricks: If you have a bunch of words that you want to add to your auxiliary dictionary, type them all in a text box and then select Check Spelling Story. When the Check Spelling dialog box appears, hold down Option/Alt and then click the Done or Close button.

Suggested Hyphenation

Menu: Utilities-> Suggested Hyphenation

Mac: Cmd+H

Windows: Ctrl+H

This is a very simple feature. It simply tells you how XPress thinks a word should be hyphenated.

Font Usage

Menu: Utilities-> Usage

Mac: F13 or Cmd+F6

Windows: F2

The Cmd+F6 shortcut was added at the last minute to QuarkXPress 5. This was so that users with Macintosh Powerbooks could have a keyboard shortcut because the function keys on the laptops only reach to F12.
